How to use the Client Portal

Logging in

LOGGING INTO THE PORTAL

Navigate to the Company Website  https://joostehellmancpa.com

Click on the Client Portal Button to the Right-Top part of the page.

By clicking on the “Client Portal” button, user should be navigated to the ClientHub login page.

Client Hub Sign-in

To access the ClientHub, click on the “Client Portal” button, which will redirect you to the ClientHub login page.

On the ClientHub login screen, please enter your credentials:

Username: Your email address

Password: Your secure password

After entering your details, click “Sign In,” and you will be taken to the home page of the Secure Portal.

Navigating the System

User Platform

Navigating through the system will allow users to interact as best as possible with the team of Jooste & Company. This section is aimed at helping users navigate to the various menus and options available through the secure portal.

  • Chat – the chat function acts similar to email in that it will create a communication thread between you (the user) and the team at Jooste & Company. When you type something in the Chat box (at the bottom of the screen) a message will be sent to the Jooste & Company team.

    • When the team reply, you will be notified both in the Portal, and via your email.

    • Using the Chat function, you can send text as well as attach files to the conversation. 

  • The Documents section allow users to attach documents to the Portal, create folders (such as Tax Year 2023) and view all signed documents.

  • In the Signatures Tab, any signature request sent by Jooste & Company will be posted here for users review, and execution. 

  • To-Dos are used as a form of collaborative Tasks between Jooste & Company and the User(s) in support of projects or engagements. 

    • Should the team need something specific from a User(s) to complete an assignment, a To-Do may be created for the User(s) to complete by a specific date. 

  • Engagement letters sent by Jooste & Company to the User will be recorded here. 

  • From time to time the Firm may send out specific Intake Forms, these will be recorded here. 

Profile Settings 

In the Right-Bottom of the screen is the User Profile information. From here, the User can update all personal information related to the users credentials with the Client Portal, and in reference to the client’s personal information, such as –

  • Full name

  • Email

  • Time zone preference

  • Other Personal information such as birthdate, phone info, etc.

  • Update Password

  • Set Two Factor Authentication 

User Settings

Managing Profile

Navigate to the User Profile button at the bottom right corner of the Portal Screen. Once you click on the button, the user will be presented with the User Profile screen. 

In the Profile section, the User can update their personal information, including updating their profile image.

  • Update Profile Image

  • First Name & Last Name

  • Email

  • Default Time Zone for the User

  • SMS Communication selection (enable/disable)

Using the Personal Information section, the user can update more personal information such as birthdate, associated company information, phone information (mobile, home, work, etc.), and physical address information.

Using the Password section, the user can update their password details. Please take note: To change the password, the user will need their current password to update the new one.

To update your password, follow these steps –

  • Enter the user’s current password in the Current Password textbox

  • Enter the user’s new password in the New Password textbox

  • Validate the new password by entering it again in the same as New Password in the Confirm New Password textbox.

It is strongly recommended that all users enable two-factor authentication (2FA) when available, particularly within the Jooste & Company ClientHub. 

To enable 2FA in the ClientHub, please follow these steps – 

  • After clicking the “Enable” button, the user will be presented with a “Confirm Password” dialog window

  • User should enter their current password and hit the confirm button.

  • The user will be redirected back to the main screen and directed to choose between 2 options: SMS 2FA or Authenticator App. The user can make a selection and follow the steps based on the selection.

After making any changes, remember to click on the SAVE Button.

Q: I forgot my password. What now?

Answer: Using the ClientHub log-in Page, right underneath the “Password” field, click the link named “Forgot your password” which will navigate you to the page where you can reset your password. Q: Can I use the Google or Microsoft Single Sign-on options to log in?

Answer: Not unless the Google or Microsoft account is the same account registed with your profile by the firm for access to the Secure Portal.

Q: Why is the Secure Portal better than email?

Answer: Using the Secure Portal is significantly better than email for several reasons, particularly when it comes to handling sensitive information. Email communication poses risks related to data breaches and unauthorized access, making it less secure for sharing personal identifiable information (PII) or any sensitive data. Our confidentiality notice emphasizes the importance of protecting your privacy and complying with AICPA guidelines, which specifically urge against including any PII in emails or attachments. The Secure Portal, on the other hand, is designed to facilitate secure communication and ensure that your information is protected throughout the transmission process.

By utilizing the Secure Portal, you can have peace of mind, knowing that the information you share is encrypted and managed within a controlled environment, greatly reducing the risk of exposure or misuse. We strongly encourage all users to enable 2FA whenever it is available to safeguard personal and sensitive information.
